Service Coordinator II
Marlborough, MA
Job Summary:With an ongoing tradition of providing excellent products and outstanding service for our customers, Energy Systems is one of the longest existing Generac Industrial Distributors in the United States. We are a full-service distributor of Generac equipment and solutions providing sales, service and rentals. The Service Coordinator II position will be responsible for creating jobs, answering incoming service calls, tracking jobs and completions, invoicing, contract setup, and managing overall administrative workflow for the Service Department.
These functions require electronic management of service jobs using company business systems. In addition, this position requires supporting other personnel as needed. This position will report to one of the service operations managers.
Essential Duties and Responsibilities:
- Creating jobs, answering incoming phone calls, and assisting with the scheduling of technicians
- Scheduling preventative maintenance and repairs with customers
- Use specific customer portals as needed to manage all open work orders
- Tracking open jobs and seeing them through to completion
- Invoicing completed jobs accordingly
- Process new contracts and renewals in electronic management system
- Meeting with the service operations team regularly
- Support of other Service departmental roles on an as-needed basis
- Serve on a rotating on-call team to respond to emergency calls, typically every four to five weeks
- Provide guidance as needed for Service Coordinator I role
MINIMUM QUALIFICATIONS:
Education
- High School Diploma or G.E.D.
Work Experience
- Two to four years of administrative experience in a service-related business
- Two to four years of scheduling field technicians and/or customer service
Knowledge / Skills / Abilities
- Computer literacy is required, including a working knowledge of Microsoft Office applications (i.e., Outlook, Word, Excel)
- General knowledge of service parts and the service industry, including but not limited to basic mechanical and technical aptitude.
- Incorporate time management skills by prioritizing work assignments.
- Proven interpersonal skills with both internal and external customers, including being a team player to create synergy within the office and company.
- Must be able to handle high-pressure situations.
- Must have basic math skills for computing percentages, multipliers, sales tax, and totals on parts orders.
